1. RFQ submission is a request, not an order
Submitting an RFQ asks ICE to review the requirement and, where feasible, prepare a commercial response. It does not create an obligation to quote, sell, reserve stock or accept an order.
2. Buyer information
The buyer should provide accurate description, quantity, unit, approved brand, part number, standard, drawing revision, certificates, delivery site and required date where relevant.
3. Clarifications
ICE may request technical, commercial or delivery clarification before pricing. Ambiguous, incomplete, restricted or commercially infeasible requests may be delayed, qualified or declined.
4. Quotation controls
The issued quotation controls the commercial proposal. Website content or prior informal messages do not override the description, price, validity, taxes, lead time, delivery basis, payment, exclusions and notes in the quotation.
5. Availability and lead time
Availability and lead time are confirmed against the sourcing position at quotation and may depend on third parties. Unless guaranteed in writing, lead times are estimates.
6. Equivalents
If equivalents are permitted, ICE may propose an alternative brand, model or configuration. The buyer remains responsible for technical and project approval.
7. Price validity
Quotations are valid for the stated period. Exchange rates, manufacturer pricing, commodities, freight or availability may require revalidation after expiry.
8. Target prices
Any target budget or price reference is optional information for commercial review and is not an offer accepted by ICE or a guarantee of supply at that level.
9. Revisions
A change in quantity, specification, site, date, brand, certificates or payment may require a revised quotation and may change price or lead time.
10. Purchase Orders
The buyer should quote the ICE reference on the PO. The PO is reviewed for consistency with the accepted quotation; conflicts or additional conditions may require written resolution.
11. Secure request link
The direct secure link allows the recipient to view status, accept or revise a quotation and upload a PO. The link should be kept within authorized procurement personnel.
12. Uploaded documents
The buyer confirms authority to provide BOQs, drawings and technical files. ICE may use relevant portions for sourcing as described in the Privacy Notice.
13. Restricted requirements
ICE may refuse, pause or condition a quotation where legal, licensing, safety, regulatory or technical approvals are missing.
14. Relationship with Terms of Supply
If an RFQ becomes an order, the quotation, accepted PO/order confirmation and Terms of Supply form the commercial framework. Transaction-specific written terms normally take priority over general RFQ terms where they conflict.
